If you consent to receive SMS text messages from Compassionate Gynecology of Michigan, you agree to receive messages regarding scheduling confirmation and appointment reminders, links to forms required by the office with contact/insurance/health history information, and texts regarding normal findings on testing we ordered or performed.

 

Financial information is never shared over text.

We use the following programs as part of our practice:

 

OpenPM (OpenPractice) is our billing software that also manages scheduling. Data will be collected by our schedulers over the phone when you call, including name, birth date, contact information (address, phone numbers, email), and insurance information including subscriber data (which may be different from the patient). If you call or pay online with a credit card, that information is put into this system as part of billing. This program does not contain notes. If an account is sent to collections, only very basic contact information about the party responsible for payment is provided to them.

 

GrowPractice houses our automated patient text communication and forms, and does scheduling as well. All data that is included on the intake forms (the contact/insurance information is the same as is stored in OpenPM), along with forms containing questions about health history, are collected and stored here. Automated texts with links to forms, as well as patient appointment reminders and confirmations are run through this program. The rest of the texts to and from Nicole are sent through our business phone service. SMS consent and phone numbers are never shared with any third parties or affiliates for marketing purposes.

 

Praxis is our electronic medical record system. It has insurance and contact information, as well as patient notes generated by Nicole and Dr Kling. We use their cloud service, so all data in their system is stored off-site from the practice. It electronically sends prescriptions to pharmacies and must share insurance and contact information along with the medication info. It does not include notes to the pharmacy.

 

Documo is our fax service that we use to electronically fax necessary information. We use it to share information with other providers in the case of a referral, prior authorizations for services and medications, and is how we get records from other providers. It is also how we send orders for mammograms and ultrasounds to imaging centers, and referrals for pelvic floor physical therapy.

Google Business houses our office emails, which is where PDF versions of faxes are received. Any emails sent to or from the business are sent through this system.

 

Quest Diagnostics is our usual laboratory service, and Regional Medical Imaging is our preferred provider of radiology services. We use McLaren labs and McLaren Imaging if required by insurance. We can also use other labs or radiology services at your request.

 

All of the above systems are HIPAA compliant, and our schedulers are required to be as well.

While we understand it feels redundant and sometimes frustrating to input personal contact and insurance information into online forms after giving it over the phone when making your first appointment, please know that Nicole and Dr Kling do review all the forms you fill out prior to your first visit. If there is some reason that you are not comfortable filling out the forms online prior to your visit, they can be made available to you in print form and are then scanned into our system for future reference.

 

We only use your data to provide medical services and to bill you and/or your insurance for those services.

 

We never ever sell your data or use any of it for marketing purposes. It is never shared with anyone other than the above-named parties, and even then, only pertinent information is shared.

 

There are no links to third parties on our website, only our phone system and email address.

 

We are not affiliated with any hospital or other medical practice. Your data would only be shared with someone from those systems if you are being referred to them, and then it is directly to their office or service (e.g. the Vulvar Clinic at U of M). Referrals are discussed at length during an office visit before they are made; they will not be done without your consent.

 

We never collect cookies or tracking information when people access our website.

 

We use Google for reviews and have a basic Facebook/Instagram account that is not very active. Never give sensitive information to/through these services – we would never ask you to share your data through these platforms. We are not on Snapchat, Twitter/X, or TikTok. If anyone reaches out through these platforms it is not us! Please cut communication with them and alert us via phone or email. We will only contact you via phone, text from our business number, email you have provided, or US mail. If you have any questions about a communication, please call and speak directly to Nicole. Billing questions may be directed to CleanClaim – choose the scheduling option when prompted to be connected to them.

 

Your data is stored until you reach out to us to delete it.

 

Any corrections to your information can be handled through our schedulers or Nicole.

 

As changes are made to this Privacy Policy, they will be made available here on our website.
